The Dental Appointment We Design Specifically for Patients Who Have Not Been in Years

If it has been a while since your last dental appointment, you are in good company. We see patients every single week who are coming back to the dentist after two years, five years, ten years, and sometimes longer. Some of them had a bad experience somewhere else and decided not to go back. Some let life get in the way. Some avoided it because of cost. Some because the anxiety of making the call felt bigger than whatever was happening in their mouth. Some because they were embarrassed and kept waiting until it felt less embarrassing, which it never quite did.

Whatever brought you here, and whatever kept you away, the moment you call us is the moment the hard part is behind you. Everything that happens next is our job.

We want to walk you through exactly what your first appointment at Mint Hill Smiles looks like when you are coming back after a long time, because we have found that patients who know what to expect feel a lot better walking in the door. No surprises. No judgment. Just a clear picture of what the next couple of hours involve.

The phone call

When you call us, tell us it has been a while. You do not need to explain yourself or apologize for anything. We will not ask why you waited or make any comment about the gap. We will ask how long it has been, whether you have any current pain or concerns, and whether you have any dental anxiety we should know about before we set up your appointment. That last question matters because knowing in advance means we can prepare your appointment specifically for you rather than treating it like a standard new patient visit.

We will collect a $50 reservation deposit when we schedule, which applies directly to your balance on the day of your visit.

The digital paperwork

After you schedule, we send you a link to complete your health history form digitally before you arrive. Your paperwork asks about your dental goals, your concerns, and what you are hoping we can help with. We encourage patients coming back after a long time to use this form to tell us whatever they want us to know before they sit down. If you are nervous, write that. If you are embarrassed, write that too. If you have a specific thing that has been bothering you, this is a good place to mention it. We read every one of these forms and they shape how we approach your appointment from the moment you walk in.

When you arrive

Our patient experience team greets every patient warmly. Especially those who are nervous. We have found that being met warmly at the door rather than handed a clipboard changes the whole tone of the visit.

Before you go back for your appointment, one of our team members gives you a brief tour of the office. This is not a formality. It is something we do intentionally because familiarity reduces anxiety. You get to see the spaces, meet a few faces, and get a sense of where you are before you sit in a chair.

Dentist at Mint Hill Smiles ready to meet a returning patient

The conversation before anything clinical

Your hygienist will sit with you before touching anything and ask about your dental history, your concerns, and what your goals are for your care at Mint Hill Smiles. If you have been away for a long time, this conversation takes a little longer than it would for a returning patient. We want to understand what has been going on, what concerns you, and what you are hoping to accomplish. This is not a box-checking exercise. It shapes everything about how we approach your care.

If at any point you want to slow down, ask questions, or just take a breath, say so. We work at your pace.

X-rays

Most patients coming in after a long absence need a fresh set of X-rays. We use digital sensors that expose you to a fraction of the radiation that traditional film X-rays require. The images appear on the screen instantly and your doctor reviews them with you during the appointment so you can see exactly what we see. We also run every set of images through our AI x-ray diagnostic platform, which identifies potential areas of concern and measures bone levels at each tooth. This gives our doctors an additional layer of diagnostic information before they sit down with you.

Intraoral photos and a full examination

Your hygienist takes photos inside your mouth using our intraoral cameras. These document what we find at this visit so we can compare at future appointments and catch any changes that develop over time. Your hygienist then performs a full periodontal evaluation, which means measuring the depth of the pockets surrounding each of your teeth using a small probe. Measurements of three millimeters or less are healthy. Four or above indicates gum disease. We explain what we find in plain language and show you the numbers so you understand your own situation rather than just taking our word for it.

The cleaning

After the evaluation your hygienist performs a thorough cleaning. For patients who have been away for a long time, there is often more buildup to remove than at a routine six-month visit. This can make the cleaning take a little longer and the tissue may be more sensitive than it would be for someone who has been coming in regularly. We tell you this not to alarm you but because knowing what to expect helps. If anything is uncomfortable during the cleaning, tell us and we adjust.

The doctor comes in

Before your doctor enters the room, your hygienist reviews their findings so the doctor walks in already informed. Your doctor completes the examination, reviews your X-rays and photos with you using the screen, and explains what they found in terms you can understand. If there is treatment to discuss, your doctor explains what it is, why it matters, and what happens if it is addressed now versus later.

Meeting with your treatment coordinator

If your doctor identifies anything that needs to be scheduled, your treatment coordinator joins you in the room before you leave. They walk you through the treatment plan, the expected costs, what your insurance covers or what Brush365 membership savings apply, and the options for sequencing treatment over time if that makes more sense for your budget or your comfort level. Nothing gets scheduled without your full understanding and agreement.

What you leave with

You leave with a Smile Report Card that summarizes the state of your oral health and what needs follow-up. You leave knowing what is going on in your mouth and what the path forward looks like. For patients who have been avoiding this appointment partly because they were afraid of what they would find, that clarity is almost always a relief. Most of the time things are more manageable than the fear made them seem.

One more thing

Whatever the visit reveals, we meet you where you are. We do not lecture patients about how long they waited or what might have been prevented. We do not make the visit harder than it needs to be. Our job is to help you from this point forward, not to make you feel bad about the past. If you have been thinking about making this call for a while, we hope this helps you make it.
